Shift cover without the group chat.
Backfyl sends a shift or job request only to the team members whose tags match. They reply privately in one tap, you allocate, and the roster updates.
- Everyone at once, each in private. No group chat. One request reaches everyone who fits at the same moment, and every reply comes back to you alone.
- Only what fits them. No spam. Tags decide who hears about each shift, so people keep paying attention when Backfyl pings.
How it works
A shift needs covering.
Siobhan is off sick, and Wednesday's Theatre 4 list has no anaesthetic nurse.
Type it into Backfyl.
What the shift is, when it starts and how many people you need. Written once.
Tick who it fits.
Every tag narrows the list. Here 24 theatre staff become the five who fit.
Only those five are pinged.
Nobody else is interrupted, and nobody can see who else was asked.
They answer in one tap.
Available, Unavailable or Ask a question. Reword the options to suit your team.
Replies come back to you alone.
A running count shows who has answered. Backfyl flags a roster clash, then you allocate.
Everyone who offered is told.
The person you chose gets the good news. The others are thanked and released.
It lands on the roster.
The shift goes onto your team roster and into her own calendar.
One feed. Every conversation private.
In a group chat, everyone sees the request, every reply and every silence. In Backfyl each person sees only their own thread with you. They never see who else was asked, or what anyone else said.
Tags do the sorting.
Each person carries tags: their role, the days they want, their subspecialty, the sites where they are accredited. A request reaches only the people whose tags match it. Add as many tags as you like, and name them to suit your team.
- Theatre nurses. A Wednesday theatre shift goes only to the nurses who asked for Wednesdays.
- Anaesthetic group. A paediatric list at Northside Private goes only to anaesthetists accredited there who chose paediatrics.
- Surgical assistants. A Wednesday orthopaedic list goes only to the assistants who do orthopaedics at that hospital.
- Building crew. A job for the electricians goes to the electricians. Nobody texts the crew one by one.
- Cafe or restaurant. A Friday bar shift goes to the bar staff who work Fridays.
People set their own tags, so they only hear about the work they want.
Allocated means rostered.
The shift goes onto the team roster and into the person's own calendar. If they are already rostered at that time, Backfyl tells you before you allocate.
Built for how a roster really runs.
Not just cover. The whole week: building it, changing it, and everything that hangs off it.
Every shift in its own colour.
Morning, afternoon, late stay and night each have a colour, worked out from the shift's own times, so 6, 8, 10 and 12 hour shifts all fall in place. Each venue sets its own times. Everyone's hours sit beside their name, and each day's count and cost run along the bottom.
Fill the week in a drag.
Pick a shift from the strip, one of your codes or the times you use most, and drag it across the days. They go in as drafts until you publish, with one Undo for the lot. Or upload the roster you already have, as it is, or copy the last two or four weeks.
Swaps, with the rules checked.
Staff see who's on that day, then ask anyone by tag: the permanent staff who aren't working, say. The first yes takes it. Before you approve, Backfyl checks both people for clashes, leave, certificates and the award's rest between shifts. Then both hear the outcome.
And everything else the week needs.
- On call. Its own roster, published with the rest and in each person's calendar. It never counts as worked hours.
- Leave and availability. Staff ask for leave and say when they can't work. The roster shows it where you build.
- Tap on, tap off. Timesheets come from the shift itself. You check them, approve them and export them for payroll.
- Wage cost per shift. Each shift costed on your own award, with each day's total, overtime and the rules a shift breaks.
- Certificates. Expiry dates with a reminder a month out, and a flag on anyone rostered without what an area needs.
- Noticeboard. Notices at the top of everyone's home screen. Only the people on that day are pinged.
- Their own calendar. Every shift in the app, and in their Apple, Google or Outlook calendar, kept up to date.
- Excel and print. The roster in your own layout, for the wall or the display screens.

Questions people ask first.
- Do my staff have to download an app?
- No. They open the invite link you send and add Backfyl to their Home Screen. From then on it behaves like an app, with notifications. It works on iPhone and Android, and in a browser on a computer.
- Can staff see each other's replies?
- No. A reply goes to whoever posted the request and to your managers. Nobody else on the team sees it.
- How do people sign in?
- With their email address. Backfyl sends a six-digit code to sign in, so there are no passwords to remember or reset.
- Who can post a request?
- You decide when you set up: managers only, or anyone on the team.
- What does it cost after the four weeks?
- Boutique Team is $10 a month for up to 15 members, at one venue. Corporate is $25 a month for up to 50, across several venues. For more than 50, email us about Enterprise. Nothing is charged until day 29.
- Is there a contract?
- No. There is no lock-in. You pay month to month and can cancel whenever you like.
- Where is our data kept?
- In a secure, private, cloud-based database. We never sell it. See the privacy policy.
